PAC Meeting Minutes - October 4th, 2018 1.0 Call to Order – 7:18 2.0 Welcome and Introductions 3.0 Attendance – Theresa, Patty, Vivian, Ray, Nero, Alisa, Rhea, Angela, Kimara, Christina, Frank, Annie, Spencer, Richard, Sam, Eva, Jas, Suzanna, Rhonda, Randy, Emi, Brenna, Corinna, Penny, Cindy, Donna, Pam 4.0 Adoption of Previous Minutes — Motion made by Penny to pass previous minutes, Seconded by Kimara. Motion passed. OLD BUSINESS: 5.0 Richmond Martial Arts: Parents Night Out. Fundraiser for the PAC 100% of RMA proceeds to PAC for Friday November 30th - NOTE: 40 children maximum. On waiver, it will ask for email or phone call, specify no for contact. Kimara asked if a younger child would be ok for drop off? What is the minimum age? Drop off @ Richmond Martial Arts with no Pub Night. Theresa will check with Richmond Martial Arts re dates that work PAC organized fundraiser – Pub Night Option #1 - Original Joe’s $20-25 for parents and $5 (3hrs) for childminding (5-8 or 6-9 to confirm) Theresa went to visit Original Joes and chatted with Caitlyn. Will try to work out a burger/beer/beverage deal. – will need a designated driver Option #2 – Legends – no childminding – walking distance – Friday Nov 30th – Theresa will check with Legends to see what dates will work. 5.1 Wish List for the teachers this year 2018/19: Mobile Scoreboard is in the school Tables (8-12) & Cart are in school. NEW BUSINESS: 6.0 CHEQUE DRIVE: New for this school year. Send out towards October. Letter to be sent out to parents for donations towards school purchases or volunteer time or put towards fundraising ($20 & up - tax receipt). Currently no charitable number but Theresa & Donna will try to work things out. This will be a great way to do a mid-year fundraiser. From Donna & Pam’s experience, they set a goal and this also helped. Money collected will be PAC funds but through District and they will set up a Debeck PAC account. 6.1 MOVIE NIGHT: District PAC with ACF are renewing, cheque to be written to them when we are invoiced Pizza and snacks- Served starting at 5:30 Volunteers needed Thursday November 22nd 6pm: MOVIE TBA - Choose November PAC meeting Thursday February 14th 6pm: MOVIE TBA- Choose Feb. PAC meeting 6.2 Food Safe Certification: Brenna took the course online to recertify, reimburse $45. Penny is also certified until next year. Motion made by Jo to pass Certification Fee, Seconded by Rhea. Motion passed. 6.3 Sally Gift: Penny bought materials and designed gift $5.90 need to pass. Motion to pass made by Vivian, Seconded by Patty. Motion passed. 6.4 Fruit and Veggies schedule: update from Brenna. Awesome turnout for volunteers. 6.5 Budget for Skate Night: Wed Dec 12th or 19th (TBC). Theresa will confirm with Minoru in November. Volunteers welcome. 6.6 BBQ Blaze: Per Donna – Was a great turnout but the rain made it a little challenging with longer line ups. Some families were not happy with the price for what they were getting. Because it was such a last minute booking, finding a caterer was tough, limited choices. Donna’s suggestion was to keep it simple with just hot dogs. Pam’s suggestion was to book earlier. Try to book caterer earlier. Kimara suggested to put a quick note in the notice to let them know first come first serve. Cindy suggested adding time slots to the notice so families can come at their specific time slot. Help eliminate line up. 6.7a IGA reloadable cards: 4% back to the school. 6.7b Gift Card Fundraiser: Vivian did a quick intro of the gift card program. We did this 3 times during the school year. Last year we raised more than $1000. First notice will be sent out Nov 5th. Perfect time for Christmas gifts. 6.8 Pumpkin Patch: Friday, October 26th in the morning: Rhonda & Randy will take care of this from picking up the pumpkins, setting the field up and replacing them. Volunteers needed, Rhonda to determine how many are needed. Randy says the more then merrier. All students plus Preschool children are included in this. Start collecting plastic bags. 6.9 Proposed Hot Lunch dates for the year: More volunteers would be great! October 12th- Sushi November 16th - Fresh Slice Pizza December 14th - White Spot (great prices plus 15 free meals for families in need) January 25th - Fresh Slice Pizza February 8th - White Spot March 8th - Booster Juice April 5th - Sushi May 10th - Fresh Slice PIzza June 7th (or whatever day is sports day) - White Spot 6.10 Popcorn and recess sale: Joey. Freezie sale went really well. Only 6 freezies left. Over $206.05. Donna suggested having a Freezie sale after school on a Friday so they can take it home with them. Another option would be to sell it for lunch. 6.11 PAC Dates for 2018/19: Alternate mornings and evenings. October 4th at 7:15pm Nov 8th at 9:00am Jan 10th at 7:15pm Feb 7th at 9:00am Mar 7th at 7:15pm Apr 11 at 9:00am May 9th at 7:15pm possible AGM meeting June 6th at 7:15pm 6.12 Treasurer's Report: per Patty Cash Available for spending $8250,67. Gaming Balance $0.09 (community Gaming Grant (approved but not deposited) $6912.00 6.13 Administrative Report – PAC $ expenditures for June – Pam met with Larry and amount came out to be more than anticipated (school spending). $2000 over anticipated for the projectors & trolley for every classroom. Volleyball up and running. Kilometer club is in full. Terry Fox Run fund raised just under $500 and donna matched it. We donated just under $1000. We Day applications received. Cross Country Track Run – Garry Point Park. Emergency Preparedness Kits: Penny, Jo-Anne & Donna went through the items in our storage. Talk more about the kits. Teacher Allocation: $150/division (x14) plus Resource teacher $150/teacher (x4). Librarian & Music is $300 (x2) Total: $3300.00. Motion made by Rhonda to pass teacher allocation, seconded by Patty, Motion passed. 6.14 Questions and Answers Meeting adjourned. 9:00pm Next meeting date will be November 8th at 900am.
