April 2018 Meeting Minutes

PAC Meeting Minutes:  Wednesday April 11th, 2018 at 7pm (Library) 1.0 Call to Order – 7:05pm 2.0 Welcome and Introductions 3.0 Attendance – Theresa, Dorothy, Tara, Corrina, Alexia, Brenna, Patty, Christina, Rhonda, Vivian, Penny, Jo-Anne, Larry 4.0 Adoption of Previous Minutes – Motion made by Dorothy to pass previous minutes, Seconded by Rhonda.  Motion passed.   5.0 Old News 5.1 Pub Night: Thinking about another pub night in June in the Ironwood area close to Richmond Martial Arts.  They have offered to do childminding for free (3hrs). We would charge a small fee to the parents for child minding.  Larry thinks it’s a great idea but given the many school events going on during this time (Spring Fair, Grad, Teacher Appreciation lunch, etc), pub night may be something to think about in the new school year.  Theresa will contact Richmond Martial Arts to discuss maybe an event in the fall.   5.2 Richmond Martial Arts: Parents Night Out. Fundraiser for the PAC, Owner offered 3 hours of child minding.  100% proceeds to PAC. This would be more as a Promo for his company. Arts & Crafts, Martial Arts for 30 mins, there will be stations and the 3 leaders are available during that time.  For more parents to come out, Larry suggested a lower price for child minding. Will review at a later date. UPDATE: 40 children maximum. On waiver, it will ask for email or phone call, specify no for contact.   5.3 Spring Fair Date: May 4th May the Fourth be with you photo booth theme: Penny in charge of making back backdrop and props Food options Vivian’s dumplings & noodles combo: Vivian’s mom has agreed to man the dumpling & noodles station. And we will be selling hot dogs and snacks Gift Baskets: spear head by Dorothy: as part of the games - enter 5 gift basket drawer- 2 tickets gets you one name.  THREE BASKETS to be made. Dorothy is emailing vendors… $50 gift card to Earls, three martial arts birthday package (worth $200 each), home depot items ($50) , four Capilano Suspension Bridge admissions, White Spot gift cards ($20), Four board games ($70), GC from Pharmasave, Prime Fitness passes, Boston Pizza, (Starbucks & IGA, 4Cats, and some others pending) Alexia will pick up boxes from Costco and Rhonda will pick up clear gift wrap Theresa suggested to take the Golden basket to the classrooms to show the students what they could win for selling more booklets   Living Magic: Christina has booked from 6-8pm. They will pre-make some balloons prior to arrival to save some time. Approximately $210 including tax for 80 balloons   Me to We will run a couple stations (virtual reality, candy kabos, tbc)  Part of proceeds will go to   New ticket punch card instead of tickets – Three options: $5, $10, $20.  Each star on punch card is $1 each. 30 minutes before event ends, option to purchase individual “card” number.   Penny will prepare punch cards in Yellow cardstock for 1000 punch cards with elastic bands   Use all the remaining tickets in storage for prize tickets Need to change pricing on posters for the Spring Fair – all game pricing will be increased.  Penny requested to start on posters earlier than day of. Theresa & Jo-Anne to help Penny   Tough to find enough parent volunteers. Alexia suggested requesting volunteers from High School.  Larry prefers to invite previous Debeck Students to come back. Larry to look into this option.   Rhonda and Tara to purchase all prizes Fair Games: Rhonda and Randy to pick up in the afternoon: Tara will contact supplier Cake Walk: Rebecca (has morning commitment, will need another parent to receive cakes during this time) She will man the table during Spring Fair.  Alexia 8:30-9:30, Patty’s Mom 9:30-noon & Penny Noon-1:30. Raffle License and design: Simon has done a great job with the design Raffle Ticket Booklet Assembly:  Ticket assembly went very smoothly.  Great team work! Raffle Ticket Committee: Patty will organize volunteers & will be at the raffles in the mornings to oversee.  Booklets have been distributed to the classes this week. First collection of raffle booklets in Thursday April 12th onwards.  Last day to get books is April 27th and last day to return ALL raffle books is April 30th. One $25 cash prize to top primary and top intermediate student One $25 cash prize draw for all students that sells 1 complete booklet.  Patty requested switch to Top 10 students of the whole school is be entered into a draw for a $25 cash prize and every student that sells 1 complete booklet is entered into a draw for the “Golden” basket. Top 10 students that sold the most books will be entered into a “Golden” basket prize drawer.  The draw will happen on Tuesday May 1st. Items collected for the “Golden” basket so far include 4 games (Theresa) and movie theatre gift certificates (Patty). All prize items for the “Golden” basket are donations from parents. There was discussion about adding a GC ($50) from Richmond Centre into the “Golden” basket which will be more appealing to the intermediate students. There is concern about the total prize amount of the “Golden” basket being too high. The goal is to get intermediate students more motivated to sell. One ice cream-sundae- party for winning primary and winning intermediate class for selling the most raffle ticket booklets. Motion by Penny, seconded by Theresa & Patty.  Motion passed.   5.4 New Business 5.5 May 10th PAC (AGM) Meeting: Due to a scheduled Band Concert at Gateway Theatre that same night at the same time, Meeting to be rescheduled for May 16 @ 7:00 pm.   5.6 Lunch Food Coordinator: Sat has notified Theresa that she will no longer to coordinate the lunches as she has taken on more hours at work.  Jo-Anne has volunteered to step up. Sat has volunteered to write up roles and responsibility for the next person. Splitting this role up:  Lunch Food Coordinator and Recess Coordinator Changing the hot lunch program to something similar to movie nights Larry mentioned that WestWynd had a Pizza Day every other week and they did very well with their fundraising Corrine suggested breaking the role apart (Backend vs Physically present) She is happy to do the back end if she could share this role with someone doing it physically.  Theresa will post Food coordinator opening on PAC website   5.7 D.A.R.E Program: $500 to put towards 2018 school year.  Motion made by Rhonda to pass $500 donation and Seconded by Tara Motion passed. 5.8 Teacher’s Lunch - Wednesday June 13th – Theme TBD – Tara to spearhead this event 5.9 Breakfast with Blaze on June 19th 5.7 Vivian, update Treasurer's Report: Available General Chequing: $5551.94  Available Gaming Account: $1609.52 Cash for spending: $7260.85 5.8 Mrs. Parkes retired just before Spring Break – Pick up $30 GC for Chapters.  Larry suggested maybe inviting Mrs Parkes back for the farewell assembly. Motion made by Penny to pass $30 Seconded by Rhonda.  Motion Passed. 5.9 Ms Simpson will be heading off on Maternity Leave – Pick up $30 GC for Carters. Motion made by Tara to pass $30 Seconded by Alexia. Motion Passed. Theresa to pick up 5.10 Palmer Scholarship:  $500 to a Debeck Graduate.  Motion to pass $500 for Palmer Scholarship made by Dorothy, Seconded by Christina.  Motion passed. 5.11 Fruit & Veggie day lands on same day as Track Meet.  Larry suggested to move Fruit & Veggie day to Wednesday May 9th. 5.12 Bollywood:  Great turnout and students did a great job.  Dorothy suggested having a song list for the music the students are dancing to.  Christina suggested playing some Bollywood videos ahead of the Bollywood sessions so the students know what it’s about 5.13 Talent Show April 25th 1:15pm – Auditions have already started.  Larry will talk to Talent show committee to find out about information to be sent home to families. 5.14 Band Concert for Grade 6-7 @ Gateway – May 10th, 2018.  Larry to speak with Ms Khoo about the details to this event. 5.15 Upcoming Debeck Events: May 22nd, 2018 – Saleema Noon – Parents May 23rd, 2018 – Saleema Noon - Students May 30th @ 10:45am Welcome to K – 31 students year vs 36 last year June 4th, 2018 – Swimming for Grade 1-4 @ Watermania (PAC to help out with bus) 45mins, Parents register with specified barcode June 8th, 2018 – Sports Day June 12th, 2018 – McNeill Band Concert – Grade 6-7 June 15th, 2018 - Debeck Band Concert – Larry to see if Ms Khoo can change to afternoon June 27th, 2018 – Grade 7 Farewell 5.16 Grade 7s – Larry to discuss with teachers and hoping to form a parents group   Meeting adjourned: Next Pac meeting Wednesday May 16th at 7pm AGM
